Finding a student and reading their record
Search and filter the student list, then read a student's full record across the Student Info tabs.
Student Record is the front door to every student in your institution. This page covers finding the student you want, and reading what their record holds once you open it. To create or change a record, see Admitting a student and managing their record.
Prerequisites
You need Student Record access. Without it, Student does not appear in your sidebar at all. See Understanding roles and permissions if the menu is missing.
Opening the student list
Go to Student > Student Record. The page opens on the Student List.
The list itself sits below the filter controls. If a current build shows a New Admitted Student Campus Wise strip, use its date range to review campus admission counts before reading the table.
Finding a student
You have two ways to narrow the list, and they work together.
Search by name or ID
Type into the search box. The placeholder tells you what it accepts: Search by student name, Student ID, or Old ID.
Type at least two characters. The list updates on its own a moment after you stop typing, so there is no search button to press.
Old ID is the identifier the student arrived with, from a previous school or an older system. Not every student has one. Searching by Old ID is the fastest way to find a student who transferred in and whose FEMS Student ID you don't know yet.
Filter by class and campus
Open Advanced Filter to narrow by:
- Session
- Campus
- School
- Class
- Group
- Section
- Shift
Each filter applies as soon as you pick a value.
Reset empties the filter panel, but it does not reload the list. The table keeps showing the previous results until you pick a Session again. Always re-pick a session after a reset, or you will be reading stale rows.
School does not narrow the results. You can pick one, but the list comes back the same. Use Campus, Class, Section, and Shift to narrow.
Your academic context (session, campus, class, and so on) is remembered as you move around FEMS, so the filters often come back already set from the last screen you used. If a student you expect is missing, check the filter panel before you conclude the record isn't there.
Reading the list
Each row shows Student ID, First Name, Last Name, Session, Campus, Class, Section, Shift, and Roll No.
At the bottom, Items per page: sets the page size and Showing {from} to {to} of {total} entries tells you where you are in the results.
When nothing matches, the table shows No data available.
Opening a student's record
Click the row, or its eye icon in the Action column. The record opens as Student Info, under the Student Management > View Details breadcrumb.
The card on the left is the student's identity at a glance: name, Previous Student ID, Old ID, Attendance Device UID, date of birth, gender, email, phone, religion, and country, followed by their current session, campus, class, section, and roll.
Previous Student ID and Old ID are the same value under two labels. The record shows it twice, once in each row. The student list and its search box call it Old ID.
Previous Student ID has a copy button next to it. Click it and the icon turns to a tick, so you can paste the value into another system without transcribing it by hand. There is no on-screen message, just the icon change.
What each tab holds
The right side of the record is a row of tabs.

| Parents | Each guardian's name, NID, mobile number, email, nationality, address, educational qualification, profession, yearly income, organization, and designation. |
| Document | Files uploaded against this student, with an Add More button to upload another. |
| Accounts | The student's fee and payment position. |
| Transport | Route assignment. |
| Library | Borrowing history. |
| Activity | The status history on the record. |
| Notification | Notifications tied to this student. |
A Face Enrollment tab also appears when your institution has face-recognition attendance switched on. See Face recognition attendance.
Two things surprise people here:
- Basic Info is not the student's own name and date of birth. Those live in the left-hand card. The tab holds siblings, previous school, and admission feedback instead.
- Transport and Library currently show NO Data Available on every student. Route assignments and book loans are real, they are just not surfaced on this record yet. Check the Transport and Library modules directly for now.
Changing what you see
Every tab that holds editable information opens a slide-out drawer when you choose to edit, rather than sending you to a separate edit page. The record stays on screen behind the drawer. Admitting a student and managing their record covers each drawer and what changing it affects.
FAQ
A student I know exists isn't in the list. Where are they? Almost always a filter. FEMS remembers your session, campus, and class from the last screen you used, so the list may be scoped tighter than you expect. Press Reset, pick the Session again to reload, then search by name or Student ID.
What's the difference between Student ID and Old ID? Student ID is the identifier FEMS generates when the student is admitted. Old ID is whatever identifier they arrived with, from a previous school or an older system. The search box accepts either. On the student's record, the same arrived-with identifier also appears as Previous Student ID.
Why does the Status filter say Deactive instead of Inactive? That is the label the screen uses today. It means the student is no longer active at the school. Their record and history stay in FEMS.
Can I export the student list? Not from this page. There is no export or bulk action on the Student List.
The Attendance Percentage on the Academic tab looks wrong. Why? A day with no attendance taken counts as absent, not as "not recorded". If a class was never marked, every student in it loses that day. See Taking attendance.
