How to assign a student to a transport route

Check the transport setup, choose the student, and review the route and fare before assignment.

Use this guide when a student starts using school transport. It connects the route setup and rider assignment screens in the order a transport administrator needs them.

Prerequisites

You need access to Transport > Settings and Transport > Dashboard > Route Assign. The student record and route fee chart must already exist.

Before you start, confirm that the route has its fee chart and any covered areas it needs. See Setting up routes, vehicles, and drivers.

Step 1: Check the route setup

Open Transport > Settings, then Routes. Check the route, any covered areas it needs, and the correct fee for One way or Two way travel.

Add the missing route or fare before you assign the student. The assignment drawer uses the routes and fares that already exist.

Vehicles, Drivers, and Route allocation describe the fleet used for the bus service. They are optional for recording a student's route assignment.

Step 2: Open the student assignments

Go to Transport > Dashboard, then choose Route Assign. Open the Student tab.

The list can show Active, Inactive, Start requested, and Stop requested assignments. Use the status filters to narrow the list when you are following up on an existing request.

This guide uses Assign to start an administrator-created assignment. It does not cover request approval.

Step 3: Choose the student

  1. Click Assign.
  2. Choose Student in the Assign transport drawer.
  3. Search by the student's name or ID.
  4. Select the matching student.

Read the selected student's name, ID, campus, and mobile number. Stop if any detail belongs to another student.

Step 4: Choose the route and fare

  1. Choose the Route.
  2. Choose the student's Area when the route uses a covered area.
  3. Choose One way or Two way under Trip type.
  4. Read the Fare loaded from the route's fee chart.
  5. Enter an Additional cost only when the school has approved it.
  6. Check the Total.
  7. Turn on Pick up from a different address only when the student uses another pickup point. Complete the address fields that appear.
  8. Add Comments when another transport administrator needs the reason or context.

The route, any applicable area, and trip type decide which fare appears. If the fare is empty, return to Transport > Settings > Routes and check that combination in the fee chart.

Step 5: Check before assignment

Read the student, route, area, trip type, fare, additional cost, total, and pickup address one last time. These details affect the student's transport record and may affect fees.

Click Assign only when your institution has confirmed how saved transport assignments reach billing.

FAQ

Why is the fare empty? Choose the route, any applicable area, and the trip type first. If the fare stays empty, check that exact combination in the route's fee chart.

Can I assign an employee instead? Yes. Use the Employee tab and choose Employee in the assignment drawer. See the module page for the shared route and fare fields.

What does Additional cost change? It increases the total shown in the drawer. Enter it only when the school has approved the amount.

Can the student use another pickup address? Yes. Turn on Pick up from a different address and complete the address fields.

How do I approve a Start requested row? This guide covers administrator-created assignments, not Start requested approval. Ask your transport administrator for the institution's current process rather than treating Assign as an approval action.
