General

Who creates my FEMS account? Your school's admin or HR team. FEMS support can't issue you a login directly. See Logging in for the first time.

Why can I see a module but not do anything in it? Menus and buttons are permission-gated separately from your data scope. You can have access to a screen but no campuses or classes assigned, which makes lists look empty. Ask an admin to check both.

Can two people work in the same module at the same time? Yes. Where an action would clash, such as two people collecting the same payment, FEMS rejects the second one rather than double-processing it.

Admission

What's the difference between an enquiry and an application? An enquiry is a light record for a family who's asking, with the child's basic details and a contact person. An application is the full record with date of birth, address, and guardians. Only an application can go on to the entrance test. When a family proceeds, create a full Admission application until the Enquiry-to-Admission type-switch path is verified end to end.

What are the two admission fees? The Admission Form Sell fee buys the admission form and is collected when you log the application. The Admission Fee is the enrollment fee, collected after the applicant passes the test. Both are configured per class, session, and campus.

Why can't I edit the payment amount? Both admission fees have to match the configured amount exactly. Partial and over-payments are rejected. If the amount is wrong, fix the fee configuration.

When does an applicant become a student? When you collect the admission fee. That single step creates the student record, the student ID, the student login, the academic record, and a guardian record for each guardian. Guardians already in FEMS, matched on their NID, are linked to the student and keep their existing login.

Does marking an applicant "Admitted" in bulk enroll them? No, and it causes a problem. It marks them enrolled without creating the student record, the guardians, or the bill, and because they then count as enrolled, the admission-fee step that would create those records is blocked. Only collecting the admission fee enrolls anyone. Use Admitted to record an outcome, never as a shortcut.

Does FEMS decide who passes the entrance test? No. You pick Eligible or Not Eligible yourself and FEMS records your choice. The question paper's passing mark is stored for reference but isn't applied automatically, so check the mark against it before you choose.

Can I change an admission discount after saving it? No. A discount can be set once, then the field locks. Get it right the first time or ask an admin.

If I change a fee after an applicant is scored, do they pay the new amount? No. The amount is recorded on the applicant when they're scored, and that's what they pay. Only applicants scored after the change pay the new amount.

Can a family apply online? FEMS has a separate public online admission form with its own applicant list and lottery selection. It's a different system from the walk-in pipeline used in the admin console.

How do I delete an applicant created by mistake? You can't. Applications are financial records, so there's no delete. Mark the outcome as Failed and ask your admin what your school's practice is.

Which guardian gets the payment link SMS? The one with the SMS Contact switch turned on. If none is set, FEMS uses the first guardian with a mobile number, in the order father, mother, then others.
